On-Call & Inclement Weather Accommodations
Terms and Conditions
The on call house is a benefit provided to on call employees to ensure readiness to respond to the hospital in a timely manner. **Rooms will be assigned randomly based upon availability and operational needs. ** You will receive an email confirming your stay and assigning a room number prior to arriving.
**IN THE EVENT OF AN INCLEMENT WEATHER EMERGENCY, ON-CALL HOUSE ROOMS WILL BE RESERVED FOR PROVIDERS OR SPECIAL NEEDS DETERMINED BY THE ADMINISTRATOR ON CALL OR THE INCIDENT COMMANDER. ALL OTHER STAFF WILL BE ASSIGNED TO INCLEMENT WEATHER ROOMS **
The following list of personnel defines who may use the On Call House.
- On Call Staff – All on call staff are permitted to use the On Call House as long as they follow the guidelines of this policy.
- Non-On Call Staff – Individuals not on call may not use the On Call House unless approval is given by the House Supervisor on duty or the Manager of Environmental, Safety, and Security (ESS).
- EMSO – The EMSO may use up to two (2) rooms without needing prior approval. These rooms may be used as the EMSO staff see fit, as long as all conditions of this policy are met. Any additional rooms will require the approval of the Manager of ESS.
- Students or Interns – Students or interns are not permitted to use the On Call House unless prior approval is granted by the Manager of ESS.
- Other Individuals – It is not permissible for anyone other than the staff listed above to stay in the On Call House. This includes additional family members
In certain situations the On Call House may be used by non-on call personnel in the event of adverse weather. If an employee wants a room for this purpose, they must select Inclement Weather Rooms from the room choice. Private Inclement Weather Rooms are not guaranteed and space limitations may require dorm style lodging. During an inclement weather situation, priority for on call house rooms will be given to employees with pre-existing reservations as well as physicians and physician assistants. Other employees will be assigned rooms or sleeping areas consistent with the inclement weather room policy.
On the day of their reservation, employees should report to Security at the ED Lobby or call x2-4778 to arrange to pick up a key for their assigned room. Security will be responsible for verifying the employee has a reservation for the on-call house. Employees will need to present their ID badge in order to receive an access key. Lost keys will result in a re-keying charge
General Guidelines for Use
The following are a list of “rules” established for usage of the On Call House:
- Reservations are done on a first come first basis. Rooms are assigned randomly. If there are no rooms available in the On Call House, additional employees will stay within the Hospital.
- Family members, pets, or other individuals are not permissible to stay in the On Call House. The only person approved is the person listed on the reservation.
- Reservations shall only be made for the dates actually needed; employees shall not “block out” large quantities of time just to ensure they have a space.
- If conditions change and a reservation is no longer needed, the employee shall remove their reservation to allow another the opportunity to stay. Reservations may be cancelled by visiting https://evanoncall.sirvoy.me/review and entering booking reference number and last name.
- Room doors should remain closed and locked for your safety during the entirety of your stay. Each door is keyed separately.
- Smoking is not permitted.
- Occupants are responsible for their belongings.
- The house should be kept neat and tidy. If the kitchen is used, each occupant is responsible for their own dishes.
- Any deficiencies with appliances should be reported to Plant Engineering at x2-2751.
- All items placed in the refrigerator must have a name, and date on them and are only to be stored during your reservation. The refrigerator will be cleaned every Monday and all items not meeting the above requirements left will be discarded.
- Housekeeping may be provided between 11:00 am and 4:00 pm daily, depending on length of stay. Any issues with cleanliness or additional linen requests should be reported to Environmental Services at x2-4836.
- All occupants will have access to only the rear entrance. All other exterior doors and windows shall remain locked. If a window is opened, it should be closed when the occupant is no longer present.
- ESS Reserves the right to take any room offline or block rooms for maintenance or operational needs at any time.
- Efforts will be made to honor room assignments; however, operational needs may require employees to be transferred to a different room than assigned. Employees will be contacted by ESS if this is necessary.
- Employees who violate these rules may be excluded from being able to reserve rooms in the future as well as face disciplinary action.
